Merchants Benefit Administration is a third-party insurance administrator headquartered in beautiful North Scottsdale AZ. We provide back-office administration services for insurance companies such as billing, collecting, and claims processing for various types of insurance plans.  We are seeking an Executive Assistant who can join our team.

Working directly with department managers, the Executive Assistant facilitates the efficient operation of the assigned departments by performing a variety of clerical and administrative project tasks which may include preparing reports, conducting research and data collection.

 

Responsibilities:

  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.
  • Assists key executives make consistent decisions by advising them of historical precedents, serving as liaison between executives and business partners.
  • Performs desktop publishing. Creates and develops visual presentations for the executive team.
  • Establishes, develops, maintains and updates filing system for the executive team and the department. Retrieves information from files when needed.
  • Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  • Answers phones for executive team. Takes messages or fields/answers all routine and non-routine questions.
  • Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
  • Works independently and within a team on special non-recurring and ongoing projects. Acts as project manager for special projects, at the request of the executive team, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, and creating brochures.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Supports department finances. Activities include copying check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.
  • Performs other related duties as assigned.

  • Proficient in Microsoft Office Suite or related software.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Executes assigned project tasks within established schedule.
  • Proficient in Microsoft Office Suite or related software.

 

Minimum Requirements:

  • Five (5) plus years related experience in an administrative role.
  • Proficient level computer skills; Word, Excel, PowerPoint etc. (All MS office products).
  • Local Candidates Only.

 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
